OFFICIAL TERMS OF SERVICE POLICY


1. Accuracy of Information & Price Changes

All content, service descriptions, and pricing on this website are provided for informational purposes on an "as is" basis. Roadshow Audio reserves the right to adjust rates, packages, and promotional offers at any time without prior notice. Prices fluctuate based on market demand, peak wedding seasons, and holiday surcharges. A price is only "locked in" and binding once a formal service agreement is signed and the retainer is received.


2. Local Service Area & Travel Fee Schedule

Base rates listed on this site apply exclusively to events held within 75 miles of Lakeport, CA. For events outside this primary service area, the following travel fees apply:

• Mileage: $2 per mile (calculated round trip).

• Travel Time: $50 per hour for driving exceeding 2 hours one-way.

• Lodging: Hotel accommodations must be provided/reimbursed for events ending after 12:00 AM and located more than 120 miles away.

• Logistics: The Client is responsible for all venue-related parking fees and road/bridge tolls incurred.


3. Payments

• The Retainer: A non-refundable Retainer of 50% is required to secure your date. Legal Status: This fee is not a simple deposit; it is a retainer for the reservation of Roadshow Audio’s time and the exclusion of other booking opportunities. By paying this fee, the Client agrees it serves as liquidated damages—a pre-agreed compensation for Roadshow Audio’s lost opportunity—should the Client cancel.

• Preparatory Labor (Work Performed): If a cancellation occurs, Roadshow Audio is entitled to compensation for all preparatory labor completed prior to the notice of cancellation (e.g., custom set preparation, meetings). If this labor exceeds the Retainer amount, an additional invoice for "Work Performed" will be issued.

• Final Payment: The remaining balance is due 14 days prior to the event.


4. Zero-Tolerance Harassment Policy

Roadshow Audio is committed to a safe working environment. We maintain a strict Zero-Tolerance Policy regarding:

• Verbal Harassment: Including shouting, derogatory slurs, insults, threats, or aggressive/abusive demands directed at the DJ or staff from the Client or guests.

• Physical/Sexual Harassment: Including unwelcome touching, physical intimidation, or suggestive remarks directed at the DJ or staff from the Client or guests.

• Enforcement: If verbal or physical harassment occurs, the DJ reserves the right to immediately cease performance and vacate the premises. The Client remains responsible for the full contract balance, and no refunds will be issued for early termination due to safety violations.


5. Force Majeure (Act of God)

Neither party shall be liable for failure to perform if such failure is caused by an event beyond their reasonable control, including but not limited to: natural disasters, war, terrorism, strikes, or government-mandated shutdowns (e.g., public health emergencies). In such cases, the parties may agree to reschedule or terminate without penalty, though work already performed will still be billable.


6. Venue & Technical Safety Checklist

This checklist must be satisfied by the DJ before equipment setup begins. A lack of satisfaction gives the DJ the right to immediately leave and vacate the premises. The Client remains responsible for the full contract balance, and no refunds will be issued for early termination due to safety violations.

• Space: A level, stable surface of at least 6ft x 4ft is required.

• Power: Two (2) dedicated 15-20 amp circuits must be available within 20 feet of the performance area.

• Security Buffer: A minimum 3-foot "Safety Zone" must be maintained between the audience and the DJ booth to prevent equipment damage and unauthorized contact.

• Weather Protection: For outdoor events, the DJ area must be under a waterproof and sun-shading cover (tent/awning).

• Access: Clear, unobstructed paths for heavy equipment load-in and load-out.


7. Crowd Control

The Client must provide professional security for high-risk factors (e.g., clubs, bars, concert venues, open bars or large crowds). Enforcement or lack of enforcement is not the responsibility of Roadshow Audio, its DJ or staff.
